We are a fast-growing company and seek a talented, highly motivated Executive Assistant to CEO and VP based in Washington D.C. to join our regional Operations Team. 

 

The candidate should be motivated to help the world’s premier companies understand Asia and must possess a detailed understanding of the company, its people, priorities, strategies, and processes. The person doing this job must be smart, assertive, practical, and diplomatic. This role helps leadership and the company work better, faster, and stronger. The Executive Assistant will coordinate communication between the CEO and Vice President for Client Services and key internal company leaders, manage an active calendar of appointments and travel, and perform other duties as requested. 


Position Responsibilities 

  • Manage and maintain CEO/VP’s schedule, requiring interaction with both internal and external executives, government officials, and assistants as well as consultants to coordinate a variety of meetings.  
  • Manage and prioritize meeting requests, including if requests should be routed to another individual within BGA for action. 
  • Manage workflow between the CEO, the Vice President and key internal leaders. Provide a bridge for smooth communication.  
  • Prepare the CEO/VP for meetings and undertake follow-up actions and anticipate the needs of the company. Prepare and manage creation of memos, background materials, letters, travel statements and other documents.  
  • Work with BGA staff to collect pre- and post-meeting briefings, ensure others have their assignments and follow up on those actions and tasks if they are reportable to CEO or VP.  
  • Arrange and manage travel, including scheduling, reservations, obtaining travel visas.  
  • Manage and track expenses and compile expense reports for the CEO and the Vice President.   
  • Serve as notetaker and take minutes of phone calls and meetings as needed, including regular institutional meetings. File notes in our internal system and distribute appropriately. Exhibit discretion when handling information that is internally confidential.  
  • Maintain a wide and deep network of other executive assistants. The executive assistant will be responsible for maintaining and developing close personal ties with a wide network of people who hold similar positions for the CEO/VP’s immediate network, including in governments, businesses, civil society, and other organizations. 
  • Help to innovate and organize filing systems, both the computer system and in hard copy. 
  • Undertake special initiatives as directed.  


Job Requirements 

We seek an exceptional candidate who can effectively manage multiple work streams while meeting deadlines and should be highly self-motivated, well organized, detail oriented, collegial, and feel comfortable interacting with a range of interlocutors. He/she must work independently and as an effective team member in supporting and anticipating company needs and filling gaps in high-pressure situations 

Qualifications include: 

  • 5+ years experience supporting at the executive level preferred 
  • Experience scheduling travel arrangements for management 
  • Excellent calendar management skills 
  • Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook. 
  • Interest in international business and/or politics, familiarity with Asia, Asian cultures and languages are not required but would be a plus. 
  • Ability for flexibility in hours, particularly when the CEO and/or VP is on travel
